SageRider Posted October 15, 2009 Share Posted October 15, 2009 Based on the lodging reservation churn that has been seen at recent events, the UN-IX team has come up with the following: 1) Participants must register and pay for the Unrally. Payment is non-refundable. (exceptional cases may be considered). 2) Once payment is received, Names will be emailed to the host site. Names will also be posted on the unrally web site. Reservations cannot be made from the block of rooms set aside for BMWST if the name is not on the emailed list. Comments? Suggestions? Link to comment

SageRider Posted October 18, 2009 Author Share Posted October 18, 2009 Some of our recent events have had all the primary site rooms reserved very early. A high percentage (30%+ from what I've heard) of these reservations are being cancelled just prior to the event. This causes a lot of excess work for the hosting establishment It also makes a lot of rooms unavailable until the last minute for folks that are definitely going to attend, but did not choose to commit until they were sure. Our budget is based off of per capita expected expenditures. Many of these expenditures must be paid well before the event. If event fees are refundable, especially to last minute cancellations, we are put in the position of having to refund fees that have already been committed to our suppiers. Link to comment
