Mark Menard (Vita Rara) Posted August 14, 2006 Share Posted August 14, 2006 1: Secure location: 1.1: Find campground and hotel within walking distance of each other in an area that has good roads, and sufficient services to handle our group. 1.2: Have someone, or myself, scout the campground and hotel. 1.3: Repeat until a site is found. 1.4: Determine dates based on campground availability and hotel availability within reason so we don't conflict with other rallys, or large events. 1.5: Reserve hotel and campground. All of this is well under way. We have the sites lined up and are going to finalize negotiations with the sites in the next week or so. 2: Setup catering 2.1: Figure out meal schedule. 2.2: Get proposals from vendors. 2.3: Decide on proposals and do deposts, etc. If things work out with the camp ground they have the catering facilities on site, and can handle breakfasts and dinners every night for us at the food pavilion. Additionally it was my thought that we would do a more "formal" sit down dinner on the middle night. Most likely Wednesday, as we're thinking of doing Tuesday through Thursday. 3: Get someone started on ride plans. Under way, as discussed in earlier thread today. 4: Start website. Inquiries made. 5: Figure out how registration will work. 5.1: Determine registration fee. 5.2: Figure out how finances will be handled. Is there a BMWST account? 5.3: Setup registration page. Nothing to report. 6: Give Aways 6.1: What are we giving away? 6.1.1: T-Shirts? 6.1.2: Coozies(sp?)? Nothing to report. 7: Naming the Un I'm coming up pretty thin here. I really like Spike's West "By God" Virginia from the forum name last year, but I don't know how that would sell. Plus I'm not the creative type here. I'll have to talk to my better half on this issue. The T-Shirts for Un-IV had the slogan "Oh Shenandoah" on them, which I didn't remember being offered up as a "name" of the event, but which I thought was really neat! Leslie usually has great ideas about stuff like this. Maybe she can come up with something. Any idea on dates yet?? Link to comment

I know that David "loaned" us some money for Cody in those cases where the vendors needed their deposits before the registration fees were in place to cover. We payed him back as soon as we had the fees. We can talk about what's available up front when you've zeroed in on some of your needs. You might want to talk to Ken H. I notice that he opened up an Unrally Account and ordered checks. I don't know how they handled their finances because they didn't ask for front money. Ken and Tasker may have good info for you there. If you want them added to this planning forum for input, let me know. We have breakfast facilities on site, and people can simply show up for breakfast. 3: Get someone started on ride plans. No progress on this due to weather. I plan on heading down there as soon as a I can in the spring, and I'm mentally planning on at least three pre-rally trips. 4: Start website. I have the info, but haven't done anything yet. 5: Figure out how registration will work. 5.1: Determine registration fee. 5.2: Figure out how finances will be handled. West Virginia is the southernmost Northeastern state, the northernmost Southeastern state, the easternmost Midwestern state as well as the westernmost Eastern state. I'm sure we could come up with something catchy there But what about some of their other state Moto's: "One Big Happy Family - Really!" "West Virginia - Now with Sckools" "Come See for Yourself" (this actually was one of their moto's) And since Open for Business is so popular with them, how about "Open For Riding". West Virginian's would love that one. West Virginia is the only state completely in the Appalachian Mountains. Maybe something about Appalachiopia.
